Overview

The Legal Services office of the Judicial Council of California provides quality, timely, and ethical legal advice and services to the Supreme Court, Courts of Appeal, and trial courts, and to the Judicial Council, and its advisory bodies and staff.

Legal Services is currently searching for an Administrative Coordinator to join its dynamic law office made up of a highly skilled workforce that provides legal support to judicial branch clients on challenging, varied, and significant legal issues. 

Under the direction of and reporting to the Real Estate Unit Supervising Attorney, the Administrative Coordinator will provide specialized administrative, organizational, and document‑processing support to attorneys within the Legal Services Real Estate Unit. The role performs mid‑level specialized administrative work involving complex legal, real estate, and construction‑related documents, research, and file management. Working under general supervision, the position independently handles detailed tasks such as drafting, formatting, and tracking legal documents; coordinating schedules; organizing large volumes of technical materials; and supporting committees and special projects. The Administrative Coordinator routinely interfaces with a variety of internal and external stakeholders including local county staff and outside counsel. The work requires strong attention to detail, the ability to navigate multiple document systems, and the judgment to support attorneys across a wide range of real estate and construction matters and projects.

The Judicial Council

The Judicial Council of California is the policy setting body for the state court system and has constitutionally conferred statewide rule-making authority. This authority includes developing, advocating for, and allocating the judicial branch budget. A majority of Council members are California state justices and judges; however, the Council also includes lawyers, legislators, and court administrators.

The Judicial Council offers hybrid work arrangements for many positions. The successful candidate will be expected to work in person at the Judicial Council’s San Francisco or Sacramento office at least two days per week and reside in the areas surrounding these locations. To be eligible for Judicial Council employment and participation in the Judicial Council’s Hybrid Work Program, a prospective or current employee’s primary residence/remote work location must be in the State of California and within a 150-mile driving radius of their assigned reporting location. 

Responsibilities

Provide specialized administrative and paralegal support in preparing and processing a variety of real estate and construction related legal documents for Legal Services, Real Estate Unit (REU).

  • Prepare, maintain, and/or route documents as requested to support REU attorneys, including but not limited to correspondence, reports, spreadsheets, power points and real estate specific documents.
  • Assist with travel arrangement and maintain calendars and scheduling requests for REU attorneys 
  • Assist with organization and maintenance of large and complex files and documents, including construction project files, claim documents, and document binders.

Research, investigate, identify and compile real estate and construction-related resources and materials as needed by REU attorneys.

  • Assist with locating documents by navigating multiple Facility Services database platforms, including SharePoint, JPIC, Procore, CAFM and Perceptive for purposes of researching and providing documents to attorneys, preparing exhibits to agreements, and responding to document requests.
  • Provide specialized administrative support to perform research, compile information, and prepare summaries as directed by attorney staff.
  • Utilize and maintain understanding of multiple types of construction contracting methods including Construction Manager at Risk (CMR), Design Build, Design-Bid-Build, and IDIQ and use this knowledge to identify and compile relevant materials.
  • Assist with file and document management and coordination for construction related claims, disputes, and litigation. Assist with the review, formatting, and editing of correspondence and reports. 
  • Monitor and manage the scheduling relevant deadlines.

Review, format, and edit legal documents, including lease and license agreements, general real estate agreements, and other formal documents, including assistance with legal filings.

  • Assist attorneys with rule 10.500 records requests, litigation discovery requests, and contractual claims related to real estate and construction matters, including locating and compiling documents, and potential review of materials for relevancy, confidentiality, and privilege.
  • Management of legal document processing for the REU.
  • Assist REU attorneys with Judicial Council Committee and advisory body support.
  • Work on special projects as assigned.

Other Duties and Responsibilities: 

  • Perform other tasks, as assigned, for other Legal Services units, including assisting other Legal Services units in response to workload demands or emergent circumstances.

  • This position may require Notary certification.

Qualifications

Three (3) years of administrative support experience, including some experience in area(s) of assignment (such as accounting, writing/editing, database/spreadsheets, direct support to upper management, etc.).

OR

Associate’s degree, preferably in area(s) of assignment, and one (1) year of administrative support experience, including some experience in area(s) of assignment (such as accounting, writing/editing, database/spreadsheets, direct support to upper management, etc.). Additional directly related experience and/or education may be substituted on a year-for-year basis.

OR

One (1) year as an Administrative Specialist, Facilities Specialist, or Fiscal Services Specialist with the Judicial Council of California or one year of experience performing the duties of a class comparable in the level of responsibility to that of an Administrative Specialist, Facilities Specialist, or Fiscal Services Specialist in a California superior court or California state-level government entity.

DESIRABLE QUALIFICATIONS

Experience/Skill In:

  • Real Estate or construction, including knowledge and understanding of related terminology, procedures, and practices;

  • Knowledge of and experience with data management programs including JPIC, Procore, and CAFM;

  • Providing project management, organization, and logistics;

  • Coordinating deadlines and prioritizing competing demands;

  • Skill in editing and providing attention to detail;

  • Ability to research and compile information and records;

  • Gathering data, analyzing findings, and applying logic and reason;

  • Written and oral communication;

  • Office technology including Outlook, Excel, PowerPoint, and SharePoint; and

  • Public and inter-personal written and oral communications.

Pay and Benefits

Monthly Salary Range:

$5,933 – $8,305 per month

Please note due to statewide fiscal conditions, the posted salary range is subject to a temporary 3% reduction. In exchange for this reduction, judicial branch employees accrue an additional 5 hours of paid personal leave per month through June 30, 2027.
