Overview

The Leadership Support Services office is accepting applications for an Administrative Assistant position. The primary responsibilities of this position include monitoring of the Mail, Archive & Print Services (MAPS) generic printing inbox, responding to emails, answering main phone line, reviewing request forms, consulting with customers, creating complex print files, operating print production and bindery equipment, digitizing and scanning of hard copy records for the branch and mail for the Executive Office, providing records management services for the agency, and functions relating to oversight of both incoming and out-going mail and shipping (assisting with large fulfillment orders and monthly judicial payroll, reviewing and reconciliation of FedEx invoices, and maintenance of corresponding spreadsheets enabling Accounting to allocate charges to internal divisions accordingly).

The Judicial Council
The Judicial Council of California is the policy setting body for the state court system and has constitutionally conferred statewide rule-making authority. This authority includes developing, advocating for, and allocating the judicial branch budget. A majority of Council members are California state justices and judges; however, the Council also includes lawyers, legislators, and court administrators.

The Judicial Council offers hybrid work arrangements for many positions, however, this position is not eligible to participate in a regular telecommute program and must report daily to the San Francisco office. The successful candidate will be expected to work in person from 8:30am – 5pm Monday – Friday at the Judicial Council’s San Francisco office and must reside within 150-mile driving radius.

Responsibilities

•    Operation of digital print & bindery equipment to facilitate the production of printed materials for the Judicial Council and other supporting units.
•    Assist in the creation of print-ready files according to client specifications.
•    Assist in the oversight of MAPS customer service operations to facilitate the streamlining of various procedures, maintain productivity, and improve overall customer satisfaction.
•    Assist with mail/package sorting and delivery, CJER Publications fulfillment, logistics of printed materials, operation of Pitney Bowes USPS mail meter, and FedEx invoice reconciliation to ensure the continued efficient mail flow for the branch.
•    Organize and pack outgoing shipments utilizing best practices to ensure items reach their destinations without damage.
•    Miscellaneous administrative duties including monitoring, coordinating and restocking.
•    Answer in-coming calls to the main phone line, respond to emails, and greet/attend to visitors and vendors.
•    Operation of digitization software and scanners for electronic delivery of Executive Office mail as well as the digitization and electronic storage of hard copy records for the branch.
•    Safe operation of electric pallet jack for transportation of palletized shipments from the loading dock to the preferred receiving areas.
•    Distribute cases of paper weighing up to 50 lbs. to various departments within the San Francisco Office.
•    Occasionally drive a 7-9 seat passenger van for the purpose of moving printed materials/equipment from the JCC office in SF to Sacramento offices or other venues.

Other Duties and Responsibilities:
•    Bi-weekly – Attend staff meetings.
•    Monthly – Attend 1on1 meeting with supervisor.
•    Annually – Comply with mandated training requirements.

Qualifications

High school diploma, GED, or equivalent, and one (1) year of administrative/clerical experience.
Some positions may require proficiency on certain office machines. Additional directly related
experience and/or education may be substituted on a year-for-year basis.

Desirable Qualifications:
•    Previous experience in print production including operation of largescale commercial printers and various bindery equipment.
•    Familiarity with book layout and design for print production.
•    Knowledge of mail handling and shipping procedures with familiarity with USPS, FedEx, UPS, Golden State and other courier services.
•    Excellent customer service and organizational skills.
•    Proficiency in the use of Adobe Acrobat, Microsoft Word, and Excel.
•    Ability to communicate clearly, articulately & professionally, in both oral and written communications.
•    Must be flexible, resourceful, and a collaborative team-player who can follow direction well and maintain calm under pressure.
•    Willing to work in San Francisco office M-F with occasional driving between Sacramento and SF office and other local venues on an as-needed basis.

Pay and Benefits

$5,243 - $6,817 per month

Please note due to statewide fiscal conditions, the posted salary range is subject to a temporary 3% reduction. In exchange for this reduction, judicial branch employees accrue an additional 5 hours of paid personal leave per month through June 30, 2027.
