Overview
The Judicial Council of California is accepting applications for the position of Administrative Specialist with the Criminal Justice Services office.
The Administrative Specialist will provide administrative support to the Criminal Justice Services (CJS) program unit, as well as other units in the office as needed. This position will report to a Supervising Analyst. Duties include providing administrative support to CJS staff; preparation of notices, agendas, meeting minutes, and other meeting materials; assisting in the development, maintenance, and revision of California Rules of Court, and Judicial Council forms as needed; processing travel claims, report drafting, and purchase tracking; developing programs and other services to trial courts, advisory bodies, and other Judicial Council offices.
The Judicial Council
The Judicial Council of California is the policy setting body for the state court system and has constitutionally conferred statewide rule-making authority. This authority includes developing, advocating for, and allocating the judicial branch budget. A majority of Council members are California state justices and judges; however, the Council also includes lawyers, legislators, and court administrators.
By enhancing its role as a leadership, knowledge, and service resource for the judicial branch, the Judicial Council’s staff organization seeks to continue to evolve as one of California’s most dynamic public service entities, focused on improving access to justice for all Californians by innovating and responding to the changing needs of the courts and the public. As a government body charged with improving the statewide administration of justice, the Judicial Council has multiple offices with diverse responsibilities relating to court policy and operations. The Judicial Council offers hybrid work arrangements for many positions. The successful candidate will be expected to work in person at the Judicial Council’s San Francisco or Sacramento office at least two days per week, based on their office leader’s direction, and reside in the areas surrounding these locations.
Responsibilities
- Serve as the administrative support to the Collaborative Justice unit and CJS staff implementing various criminal justice programs related to behavioral health and the law.
- Maintain all rosters, contact information, and e-mail groups necessary to communicate with courts.
- Plan and schedule meetings, site visits and training´s.
- Prepare, provide and maintain archives of meeting materials in internal electronic filing system.
- Attend meetings and training´s to facilitate attendees signing in and record minutes.
- Review and process travel claims of meeting attendees.
- Assist in organizing and updating program files including applications, contracts, amendments, project budgets and other materials.
- Provide administrative support and facilitation of special events, reports, meetings and presentations.
- Provide a selection of dates and locations for educational events and meetings.
- Monitor event registrations and compile attendee lists.
- Prepare web links, hard copies, PDF packages or other methods of distribution of materials as requested.
- Update and archive curriculum and reference materials.
- Provide administrative support to the Collaborative Justice Courts Advisory Committee and its subcommittees which include the Mental Health Subcommittee and Racial Equity and Inclusion Subcommittees.
- Serve as a point of contact for lodging and travel questions.
- Assist in the distribution of meeting materials.
- Facilitate the submissions and payments of travel claims.
- Post the agenda and notice of meetings, ensuring that the rules are properly followed.
- Provide administrative support to all other non-legal units in CJS.
- Assist in site visit travel preparation for assigned CJS units.
- Assist in the preparation of Judicial Council and legislative reports, including working with the Editing and Graphics Group, Office of
- Governmental Affairs and other relevant groups to ensure that reports are submitted in a timely and accurate manner.
- Create procurement requests (requisitions and receipts) as needed.
- Assist in ordering, distributing and storing office supplies
Qualifications
Two (2) years of experience in administrative support, database maintenance, or meeting/event planning.
OR
Associate degree, preferably in the area of assignment. Additional directly related experience and/or education may be substituted on a year-for-year basis.
OR
One (1) year as an Administrative Assistant with the Judicial Council of California or one (1) year of experience performing the duties of a class comparable in the level of responsibility to that of an Administrative Assistant in a California superior court or California state-level government entity.
Pay and Benefits
$5,614.00 - $7,858.00 per month
Please note due to statewide fiscal conditions, the posted salary range is subject to a temporary 3% reduction. In exchange for this reduction, judicial branch employees accrue an additional 5 hours of paid personal leave per month through June 30, 2027.
