Overview

The Judicial Council of California is accepting applications for the position of Administrative Coordinator with the Center for Families, Children & the Courts.

The Administrative Coordinator position is responsible for lead administrative duties for three areas in the Court Assistance, Resources, and Education (CARE) unit: (1) advisory committee support, (2) juvenile court grant support, and (3) educational event planning. First, the administrative coordinator provides administrative coordination of closed and open meetings of the Judicial Council’s Family and Juvenile Law Advisory Committee, the Judicial Council’s Probate and Mental Health Advisory Committee, and committee working groups as needed. The position is responsible for moderate administrative support of Rules and Forms Projects (Rules) to staff attorneys creating and revising Judicial Council reports in the areas of juvenile dependency and delinquency law. Rules support includes a high level of forms layout, editing and revision in various software packages. In addition to staff attorneys, the administrative coordinator is responsible for working with dedicated analysts on form creation and revision.

Second, this position provides administrative coordination to juvenile related grant programs at the Judicial Council, including budget tracking, monitoring, and procurement for specialized programs; in-person or remote large-scale conferences; Federal grant programs such as title IV-E and the Court Improvement Program; and the $4 million permanency grant program. The position is also responsible for logistical support for a large, multidisciplinary training event: the Biannual Statewide Beyond the Bench conference that hosts over 1,000 attendees. This position interacts with and provides customer service to a variety of audiences including judges, court staff, attorneys, social workers and other family/youth advocates. This position also provides administrative support to the CARE unit as needed.

The Judicial Council 
The Judicial Council of California is the policy setting body for the state court system and has constitutionally conferred statewide rule-making authority. This authority includes developing, advocating for, and allocating the judicial branch budget. A majority of Council members are California state justices and judges; however, the Council also includes lawyers, legislators, and court administrators.

The Judicial Council offers hybrid work arrangements for many positions. The successful candidate will be expected to work in person at the Judicial Council’s San Francisco or Sacramento office at least two days per week, based on their office leader’s direction, and reside in the areas surrounding these locations. To be eligible for Judicial Council employment and participation in the Judicial Council’s Hybrid Work Program, a prospective or current employee’s primary residence/remote work location must be in the State of California and within a 150-mile driving radius of their assigned reporting location.
 

Responsibilities

  • Provide administrative support to Family and Juvenile Law Advisory Committee, the Probate and Mental Health Advisory Committee, and working groups, including work on Rule and Form projects, routinely interfacing with advisory committee membership and external judicial branch stakeholders.
  • Develop and administer meeting support including: preparing calendars, invitations, and handle meeting logistics; updating, assembling, and distributing advisory body materials; preparing and posting of meeting notices, agendas, and materials to the courts.ca.gov website to ensure compliance with Rules of Court Rule 10.75; confer with staff to the committee to prepare agendas, taking and preparing draft meeting minutes, meeting materials, and provide administrative support during the advisory committee meeting.
  • Provide administrative support for budget and grant management for the CARE Team overall, but specifically for the Judicial Resources and Technical Assistance Project, the Permanency Training Project, the federal Court Improvement Program, philanthropic grants, and other projects.
  • Track and monitor grant deliverables and invoices, sending reminders to courts and working with grant recipients on questions or issues.
  • Process invoices, working with the grant’s Program Manager to ensure grant requirements have been met prior to processing.
  • Monitor unit budget and expenditures including: adjusting the budget monthly based on the recap from budget services; monitoring budget includes processing timesheets, participating in procurement activities; participating in procurement activities including, submitting requisitions through FI$Cal, reviewing invoices and coordinating invoice approval process, and receiving invoices through FI$Cal.
  • Provide specialized administrative support, logistics and coordination activities in support of the Beyond the Bench conference- a high-profile, multi-disciplinary, specialized educational program.

Qualifications

EDUCATION AND EXPERIENCE:
Three (3) years of administrative support experience, including some experience in area(s) of assignment (such as accounting, writing/editing, database/spreadsheets, direct support to upper
management, etc.).

OR

Associate’s degree, preferably in area(s) of assignment, and one (1) year of administrative support experience, including some experience in area(s) of assignment (such as accounting, writing/editing,database/spreadsheets, direct support to upper management, etc.). Additional directly related experience and/or education may be substituted on a year-for-year basis.

OR

One (1) year as an Administrative Specialist, Facilities Specialist, or Fiscal Services Specialist with the Judicial Council of California or one year of experience performing the duties of a class comparable in the level of responsibility to that of an Administrative Specialist, Facilities Specialist, or Fiscal Services Specialist in a California superior court or California state-level government entity.

Pay and Benefits

$5,933 - $8,305 per month

Please note due to statewide fiscal conditions, the posted salary range is subject to a temporary 3% reduction. In exchange for this temporary reduction, judicial branch employees accrue an additional 5 hours of paid personal leave per month through June 30, 2027.
