Overview

The Judicial Council of California is accepting applications for the position of Administrative Coordinator in the Center for Families, Children & the Courts Unit.

The Administrative Coordinator provides review and quality control for the Office of procurement and accounting functions including invoice payment and travel expense claims and acts as liaison to accounting staff in Branch Accounting and Procurement. Provides direct administrative support to the unit supervised by the Deputy Director that oversees all office procurement and ensures it is compliant with Judicial Council Contracting Manual, grants accounting restrictions and audit accountability. Performs a second level review of procurements submitted office-wide by Admin Specialists. Maintains, summarizes and reports on grant-funded staff time records for Senior Budget Analyst. Troubleshoots problems in procurement and invoice processing and assists analyst and administrative staff in maintaining timely accounting procedures. Develops procedures and approves materials for conference and meeting logistics including travel and lodging.

THE JUDICIAL COUNCIL 
The Judicial Council of California is the policy setting body for the state court system and has constitutionally conferred statewide rule-making authority. This authority includes developing, advocating for, and allocating the judicial branch budget. A majority of Council members are California state justices and judges; however, the Council also includes lawyers, legislators, and court administrators.

The successful candidate will be expected to work in person at the Judicial Council’s San Francisco office and reside in the areas surrounding these locations. The Judicial Council offers hybrid work arrangements for many positions. Beginning in September 2024, employees will work in the office at least one day each week. Beginning in January 2025, employees will work in the office at least two days per week.
 

Responsibilities

  • Perform a second level review of procurements submitted office-wide by Administrative Specialists. Provide review, oversight and quality control for all Office procurements and accounting functions including invoice payment and travel expense claims, and act as liaison to accounting staff in Branch Accounting and Procurement.
  • Trains Administrative Specialists and others on procurement and invoice process.
  • Directly review quality of CFCC procurements submitted before review by Office Director.
  • Review, analyze and report on grant-funded staff time records for Senior Budget Analyst.
  • Support Office Leadership team in personnel and space management functions.

Qualifications

EDUCATION AND EXPERIENCE 
Three (3) years of administrative support experience including some experience in area(s) of assignment (such as accounting, writing/editing, database/spreadsheets, direct support to upper management, etc.).

OR

Associate’s degree, preferably in area(s) of assignment, and one (1) year of administrative support experience including some experience in area(s) of assignment (such as accounting, writing/editing, database/spreadsheets, direct support to upper management, etc.). Additional directly related experience and/or education may be substituted on a year-for-year basis.

OR

One year as an Administrative Specialist, Facilities Specialist, or Fiscal Services Specialist with the Judicial Council of California or one year of experience performing the duties of a class comparable in the level of responsibility to that of an Administrative Specialist, Facilities Specialist, or Fiscal Services Specialist in a California Superior Court or California state-level government entity.
