Overview

The Judicial Council of California is accepting applications for the position of an Administrative Assistant for the Branch Accounting and Procurement (BAP) office.

Under the direct supervision of the Branch Accounting and Procurement Deputy Director, the Administrative Assistant is the first point of contact for JCC offices located in the 2850 Gateway Oaks building in Sacramento. This position is responsible for providing reception to the public, other governmental offices, internal agency staff, and the trial courts. The Administrative Assistant also provides staff support and backup administrative services.

The successful candidate will be expected to work in the Judicial Council’s Sacramento office.

Responsibilities

Reception Services
  • Answers incoming calls, determines the purpose of the call, and directs callers to the appropriate staff; as back-up, answers all TCAS unit general hot lines.
  • Determines the purpose of visits and directs visitors to the proper staff.
  • Provides factual information regarding the Judicial Council and the various services provided by the multiple units and offices located throughout.
Staff Support Services
  • Provides back-up to the Executive Secretary and administrative staff.
  • Coordinates meetings and conference room availability.
  • Tracks special equipment reserved by staff.
Performs Mailroom Services
 • Prepares all out-going mail generated by all of the Sacramento offices for statewide distribution in large volumes primarily on behalf of the courts.
 • Tracks, sorts, and distributes all incoming mail for the Sacramento offices in multiple locations.
 • Prepares and tracks outgoing expedited mail (Federal Express).
Filing and Records Management
 • Performs journal entry paper filing tasks for the Trust Accounting Services and General Ledger & Reporting units.
 • Assists TCAS units with the preparation of off-site storage of dated records and files (records archiving).

Other Duties and Responsibilities:
 • Prepares invoices and route for approval.
 • Prepares purchase requisitions for office supplies and equipment.

Qualifications

High school diploma, GED, or equivalent, and one (1) year of administrative/clerical experience. 
Some positions may require proficiency on certain office machines. Additional directly related 
experience and/or education may be substituted on a year-for-year basis.

LICENSING AND CERTIFICATIONS
• Required for driving assignment: California Commercial Driver’s License with Passenger Endorsements.

Desirable Qualifications: 
• Proficiency with Microsoft Office products (Excel, Word, PowerPoint, etc.)
• Experience providing excellent customer service to internal staff as well as the public.
